Operational efficiency is a company's ability to create more value using the same or fewer resources without lowering product quality or the level of customer service. At the same time, improving efficiency should not come down to blunt cost-cutting.
First of all, it is important to understand where the company is losing time and resources. This may be excessive approvals, duplicated tasks, complex internal processes, or delays in production or customer service. Sometimes the problem is not the number of employees but how their work is organized. McKinsey notes that optimization should cover the entire process end to end, from start to final result, rather than individual tasks or departments.
The next area is automating repetitive operations, such as preparing reports, processing requests, issuing invoices and answering standard customer inquiries. However, it is worth automating only processes that are already clear and well organized. If you move an inefficient process into a digital system, the company will simply start repeating its old mistakes faster.
It is just as important to manage efficiency based on specific metrics. These include unit production cost, employee productivity, order fulfillment time, number of errors and customer acquisition cost. Regular analysis of these metrics helps you see which changes really improve results and which only create the appearance of savings.
A telling example is the international beverage producer ECCBC, which carried out an operational transformation together with McKinsey. The company revised its strategy, organizational model and performance management system. Over two years, the program delivered financial improvements of more than €100 million and strengthened the company's ability to sustain further change.
The key principle of operational efficiency is not to cut resources at any cost, but to eliminate waste, simplify processes and direct time, money and employee effort toward tasks that truly create value for the customer and support business growth.
